DEFINITIONS
These Terms and Conditions govern the contractual relationship between SheSurfs and the Traveler when booking a retreat at www.shesurfs.co.uk participating in an activity or buying any related products or services. These Terms and Conditions constitute an agreement between you and SheSurfs, so you must carefully read these Terms before booking your trip with us.
The following terms and definitions shall have the meaning in these Terms as set forth in this document:
“Activities” - The Activities provided at the destination and included in the retreat package, such as surfing lessons, yoga etc.The Activities may be provided by SheSurfs, an affiliate, a partner or subcontractor to SheSurfs.
”Agreement” - These Terms, the Booking Confirmation and other leaflets, and printed materials provided by SheSurfs.
”Booking Confirmation” - The confirmation of the participants booking of a retreat package sent to the participant if the booking is accepted.
”Website” - SheSurfs website www.SheSurfs.co.uk “SheSurfs” the company SheSurfs LTD
”Retreat Package” or “Retreat” - SheSurfs provides Retreat Package tours to the traveler/participant. Retreat Package Tour refers to an arrangement that has been designed before an agreement is reached and which consists of: accommodation, in combination with any activities or services that is a non-essential part of the arrangement and which is not directly linked to accommodation.
“SheSurfs”, “Us”, “Our”, or “We” - SheSurfs LTD
”Traveler” or “Participant” - People and businesses who buy SheSurfs services and products (you).
FLIGHT ARRANGEMENTS + DETAILS
Our retreats do not include flights. This means it is your responsibility to book your own flight. We can provide some suggested flight routes/options.
Your contract for your flights is not with SheSurfs and we cannot be held responsible for any delays or issues which may arise with your flights. If you know your flight is delayed, please let us know asap.
We need to receive your flight details from you at least 1 week prior to the retreat you are attending.
TRANSFERS
Our retreats do not include transfers. This means it is your responsibility to book your own transfers. We can provide some suggested transfer routes/options.

CANCELLATIONS
All cancellations must be sent in writing and will be effective on the date which they are received by SheSurfs.
Cancellation charges and total costs payable by you are as follows:
- If you cancel 12 weeks or more before the retreat: SheSurfs retains 50% of the total cost
- If you cancel with less than 12 weeks before the retreat: SheSurfs retains 100% of the total cost
If you have opted for the split payment option for a retreat package, but your cancellation charges are greater than the amount you have paid for the retreat so far, you must pay the outstanding balance to SheSurfs within 2 weeks.
If your cancellation is within the terms of your insurance policy, you may be able to make a claim with them.
RIGHT TO CANCEL
If you purchase goods or services from us online, you have the right to cancel your order within 14 days without providing a reason. The cancellation period will expire 14 days from the day you, or a third party (other than the courier), receives the goods.
When we receive your cancellation request, we will refund the full amount you paid for the goods, within 14 days of receiving your cancellation notice, using the same payment method used for the original transaction
OBLIGATIONS ON THE TRAVELLER/PARTICIPANT
We will send you some forms to fill in and sign before the retreat begins. You must fill in the retreat form at least 90 days prior to the start of the retreat. If you do not, you may not have your dietary requirements and surf level taken into account during the retreat. You must also must sign the retreat waiver before the retreat commences. If you do not fill in the retreat form, or sign the retreat waiver before the retreat commences, you will not be able to participate in the retreat.
PERSONAL BELONGINGS
We are not responsible for any loss of personal belongings. It is the responsibility of the individual to ensure that their own belongings are kept safe.
COMPANY EQUIPMENT
If there is any damage or loss to any SheSurfs equipment whilst in the individual's possession, including surfboards, fins, leashes, wetsuits, surfing boots, rash vests, you must inform a retreat lead straight away.
The participant will be expected to pay in full for any damage/loss of company equipment.
PAYMENT
We take payment online and via bank transfer.
SPLIT PAYMENTS + PAYMENT PLANS
We often offer a split payment option for our retreats to spread the cost of the retreat. In this instance, we will secure your place on receipt of the first installment. We will email you with details of your payment plan which will include the dates for each payment. Payments must be made within 7 days of their due date.
We must receive payment in full no later than 12 weeks prior to departure. If we don’t receive payment within this time frame, we will cancel your place on the retreat.
INSURANCE
Full travel insurance is a requirement for all participants taking part in our retreats. Please ensure that your policy covers you for ‘disruption to travel’ and ‘cover for cancellations’ as standard.
You may need to add additional cover for surfing. It is essential that your insurance policy covers you for all these. Failure to take out travel insurance breaks the contract between SheSurfs and the participant.
SUPPLIER CONDITIONS
Suppliers will often have their own booking conditions or conditions of carriage. You will be bound by those as far as the relevant supplier is concerned. Some of these conditions may limit or exclude liability on the part of the relevant supplier, or give the supplier the right to alter or cancel arrangements without penalty.
MEALS
Unless where specifically stated in your retreat package, meals are not included in the cost of your SheSurfs retreat. Where meals are included (e.g. breakfast or group dinners), we’ll let you know ahead of time in your retreat info pack.
We will do our best to accommodate any dietary requirements, but cannot guarantee that all dietary needs can be met at all locations. Please ensure you let us know your dietary needs at least 90 days before the retreat via your retreat form. If we do not receive this information in advance, we may not be able to accommodate your requests.
Please note that SheSurfs is not liable for any allergic reactions, illnesses, or other issues arising from meals prepared by third-party suppliers (e.g. accommodation providers, restaurants, or chefs). We recommend bringing any essential food items or snacks if you have severe allergies or intolerances.
NOT INCLUDED IN THE COST
The cost of your SheSurfs retreat does not include:
- Passport applications
- Airport/Tourist taxes
- Visas
- Insurance
- Airport transfers
- Car hire
- Flights
- Baggage
- Laundry
- Drinks
- Meals (unless where specified)
- Tips/gratuities
- Bookable additional activities or excursions (such as yoga)
- Surfboard and wetsuit hire (unless where specified - for example, during surf lessons)
ADVERSE WEATHER AND SURF CONDITIONS
We choose our destinations based on the quality and consistency of the waves. However, we are not responsible for poor surf or bad weather. We provide details about the destination on our website but it is your responsibility to research the area to ensure you are happy with the location before you book.
If there are no waves or adverse weather conditions (e.g. storms) during a retreat we will offer alternative activities. This may include swimming, stand up paddle boarding, skating, or yoga.
The itinerary of the weekend is subject to change based on wave conditions. For example we may change surf lessons from the morning to the afternoon if that offers better conditions.
If extreme conditions demand, we may postpone a retreat.
ENVIRONMENTAL DANGERS
Our retreats involve a natural environment that we can’t control. These include, but are not limited to wildlife including spiders, monkeys, sharks, snakes, landslides, earthquakes, and volcanic eruptions.
We cannot be held responsible for these activities or the dangers that you experience. We will always do our best to ensure saftey but dangerous situations may occur in nature. It is understood that you agree to these dangers when booking and understand that caution must be taken at times.
OUR LIABILITY
Our obligations are limited to providing retreat holidays and surf coaching weeks or weekends. These obligations, and the suppliers providing any service or facility included in your retreat holiday, are to take reasonable skill and care to arrange for the provision of such services and facilities. Where we or your supplier provides the service or facility, we will provide them with reasonable skill and care. You must show that reasonable skill and care has not been used if you wish to make any claim. Standards of for example, safety, hygiene and quality vary throughout the transport and destinations that your retreat holiday may involve. Sometimes these standards will be lower than those which would you would expect to find in the UK. The services and facilities included in your retreat holiday will be deemed to be provided with reasonable skill and care if they comply with any local regulations which apply (such as, for example, those of the Civil Aviation Authority). Or, if there are no applicable local regulations, if they’re reasonable when compared to the local standards and customs.
RESPONSIBILITY
SheSurfs acts only as agents for accommodation providers, transportation or other services. We will not be liable or responsible for death or injury to any person or loss of or damage to any property.
This includes incidents relating to third party suppliers such as employee negligence or resulting directly or indirectly from; acts of God, dangers, incidents of the sea, fire, breakdown in machinery or equipment, acts of governments or other authorities, de jure or de facto wars, whether declared or not, hostilities, civil disturbances, strikes, riots, thefts, pilferage, epidemics, quarantines, medical or customs regulations, delays or cancellations of or changes in schedules, or overbooking or defaults, or from any causes beyond our control.
PHOTOGRAPHY CONSENT
By participating in our retreats, you grant us the irrevocable right and permission to photograph, film, and record you during the retreat. Please note that these photographs, videos, and recordings may be used in various formats and for multiple purposes, including but not limited to social media, promotional materials, advertising, and commercial use, without any further consent/review from you.
If you do not wish to be photographed or filmed, it is the participant's responsibility to notify SheSurfs in writing before the start of the retreat. We will do our best to accommodate such requests but cannot guarantee complete exclusion from all media content generated during the retreat.
PRIVACY
We hold any information you provide to us under strict confidentiality and in accordance with GDPR legislation.
If you choose to book a retreat or request further information, we may keep your details on file to send you new versions of our newsletter or to give you details of special offers. We do not sell our customer details to anyone.
If you wish us to remove any details we may have stored simply send an email to hello@shesurfs.co.uk with your full name, address, postcode and email address requesting that we remove your details from our database. Please note that we’re required by law to retain information on financial transactions we’ve had with our customers. If you have any further questions on our privacy policy please do not hesitate to contact us.

HEALTH AND SAFETY

Surfing is a physically demanding sport. To attend our retreats you will need to be a competent swimmer and be able to swim at least 50 metres.
If you’re in any doubt about your physical or mental fitness or swimming ability, you should consult your GP before booking your holiday. Only proceed if you’re advised by a medical professional that it is safe to do so.
You must tell us about any medical condition or disability before booking. It’s your responsibility to keep safe and healthy whilst on holiday. Be aware of the need for sun protection and the dangers of over exposure to the sun.

Within this site there are several links to other websites. Neither SheSurfs or third party suppliers will be responsible for these sites and their contents. Please ensure that you read their terms and conditions and privacy policies.
JURISDICTION
All agreements will be made in England and be governed by English law and be subject to the exclusive jurisdiction of the English courts.

COMPLAINTS
We really hope you don’t have any, but if something’s not quite right during your retreat, please let a retreat lead know as soon as possible. Most issues can be sorted when they happen, and we will do our very best to fix any problem in real-time.
If you’re still unhappy after the retreat, please email us at hello@shesurfs.co.uk within 14 days of the retreat end date. We’ll investigate your complaint and aim to respond within 14 working days. Complaints received outside of this timeframe may not be eligible for further consideration.
SheSurfs is not responsible for issues relating to third-party suppliers, but we’ll always do our best to advocate for a positive resolution where possible.
AMENDMENTS
SheSurfs reserves the right to update or alter these Terms and Conditions at any time, and will post the amended Terms on the website. Any amendment will take effect 10 days after being posted to the website. An up to date copy of these Terms, as amended, may be accessed at any time on the Website and will be sent to you upon written request to SheSurfs. You are deemed to have accepted any amendments to these Terms on the date that is 10 days after their posting on the Website.
